Managing existing contacts

If you already have ACT! and MYOB the first thing you will want to do is consolidate your databases. To do this you will need to run the import and/or export wizards. As the Xact Link for ACT! and MYOB does not have a duplicate check feature, it is important to ensure that the import/export process creates as few duplicates as possible.

Firstly it is important to ensure that key data in both ACT! and MYOB is the same, this will ensure that the auto-link wizard can match all of the contacts that exist in both databases. For example, if the company name is written as “CH TechOne Ltd” in ACT! and “CH TechOne Limited” in MYOB the auto-link wizard will not match the records. Likewise if the phone number is “093776516” in ACT! “(09) 377 6516” in MYOB the records will not be matched.

Once the auto-link wizard is complete you can identify which records in ACT! are linked to MYOB accounts by performing a lookup of all records where the “MYOB Record ID” field contains data. By the same logic you can also identify records in ACT! that are not linked to MYOB and, if required, link these to existing MYOB cards or create new MYOB cards.

If you have customers in MYOB that are not in ACT! you will need to run the import wizard:

  • If you have a small list of records that you want to import select the option to “choose contacts to import”
  • Select the option to “Do not change any linked cards in ACT!” as this will ensure that the link only creates new records in ACT! for un-linked cards in MYOB.

 

To check for duplicates in ACT!:

If you think you may have created some duplicate contacts in ACT! you can perform a duplicate lookup by going to “Tools > Scan for Duplicates” from the ACT! toolbar. The duplicate checker requires you to select criteria to match on so it is important that your database is cleaned (as described above). You may also need to do this a number of times, matching on different criteria to find all of the duplicates.

Once you have found the duplicates go to “Tools > Copy/Move Contact Data” from the ACT! toolbar and complete the Wizard, or delete the duplicate contact.
