Understanding Workflow

For many businesses customers start their life as prospects acquired through marketing and nurtured by sales people to become paying customers. Accounting systems are designed primarily to manage the day-to-day financial transactions of a business and as a result many important facets of business such as communication, relationship building and prospecting are not facilitated in this software.

CRM systems, such as ACT!, are designed to help front-line staff (Sales, Marketing, Office Administrators etc.) manage prospects and customers. They provide tools to store basic contact details, log communication history and activities, monitor potential sales opportunities and manage other relevant business information. As a result, CRM systems are typically viewed as the main point of data entry and subsequently, the authoritative source of information for a business.

A typical workflow scenario starts with information about prospects being recorded in the CRM system and nurtured until they are ready to become paying customers. Only when a prospect is ready to receive a quote or invoice will their details be required in your accounting system.

Using the Xact Link for ACT! and Accredo front-line staff can convert ACT! contacts to Accredo Customers with the click of a button. Then, once the Accredo customer has been created front-line staff can continue to use ACT! to manage contacts, but will have the added benefit of viewing vital sales information such as account details and sales history without having to open Accredo.
